PBS West, LLC dba PBS Radiology Business Experts (“PBS,” “we,” “us,” or “our”) respects the privacy of individuals who interact with our website at pbsradiology.com. This Privacy Policy describes the categories of information we collect through our website, how we use and disclose that information, the security measures we apply, and the choices and rights available to you.
This Policy applies only to information collected through our public-facing website. It does not govern our handling of patient protected health information (PHI), which we process in our role as a HIPAA Business Associate on behalf of radiology practices and other covered entity clients. PHI handling is governed by Business Associate Agreements with our clients and by the HIPAA Privacy, Security, and Breach Notification Rules.
Our Role and the Data We Process
PBS processes information in different roles depending on the type of data:
Website visitor and marketing data. When you visit our website, complete a contact form, request information, subscribe to communications, or submit a request for proposal, PBS determines the purposes and means of processing this information. For this category of data, PBS acts as a data controller.
Patient billing data. When PBS processes patient information on behalf of our radiology practice clients in connection with billing, coding, claims submission, payment posting, accounts receivable management, and related revenue cycle services, PBS acts as a HIPAA Business Associate. This data is governed by Business Associate Agreements with covered entity clients and by HIPAA. Patient billing data is generally not collected through this website.
Service provider relationships. In limited circumstances, PBS may process personal information on behalf of a client in a processor or service provider capacity under applicable state privacy laws. In those cases, the client’s privacy notice governs the relationship with the data subject.
Information We Collect Through the Website
Information you provide directly:
- Identifiers such as name, email address, telephone number, mailing address, and job title
- Company, practice, or organization name and your role
- The substance of inquiries, requests for proposals, feedback submissions, or correspondence you send to us
- Subscription and communication preferences
Information collected automatically:
- IP address and approximate geographic location derived from it
- Browser type and version, operating system, and device identifiers
- Referring URL, pages viewed, time on page, and interaction events
- Information collected through cookies and similar technologies (see “Cookies and Tracking Technologies” below)
PBS does not solicit, and our website is not designed to collect, protected health information from website visitors. If you need to communicate PHI to PBS, please use the secure channels established with your covered entity, not this website.
How We Use Information
We use information collected through our website to:
- Respond to inquiries, requests for proposals, and information requests
- Provide service-related communications and, where you have opted in, marketing communications about PBS services
- Operate, maintain, secure, and improve our website
- Analyze website performance and visitor behavior, generally in aggregate form

PBS will only contact you by telephone if you have provided a phone number and have granted permission for us to do so by completing a contact or feedback form.
How We Share Information
PBS shares information only as described below:
Service providers and subprocessors. We engage third-party vendors, including website hosting, email and marketing platforms, analytics providers, customer relationship management tools, and similar services. These vendors are contractually obligated to use information only for services performed on PBS’s behalf and to maintain appropriate administrative, physical, and technical safeguards.
Legal and regulatory disclosures. We may disclose information when required by law or legal process, including subpoenas and court orders, or to protect the rights, property, or safety of PBS, our clients, or others.
PBS does not sell personal information in exchange for monetary consideration, and PBS does not share personal information for cross-context behavioral advertising.
Cookies and Tracking Technologies

Security of Information
PBS implements administrative, physical, and technical safeguards designed to be appropriate to the sensitivity of the information we handle. These include:
SOC 2 attestation. PBS maintains SOC 2 compliance for its operating environment, and financial and medical data are processed on SOC 2 compliant infrastructure.
Encryption standards. Information transmitted between your browser and our website, and information at rest within environments under our control, is protected using industry-standard encryption.
Vendor oversight. PBS conducts annual due diligence on third-party partners that process sensitive information on our behalf, including verification of relevant attestations such as SOC 2 Type II and, where applicable, PCI DSS compliance for payment processing partners.
Secure payment handling and agent protocols. When PBS billing agents assist patients with payments by phone, agents enter information directly into secure, encrypted third-party payment portals operated by attested third-party payment processors. PBS does not store credit card numbers on internal servers, and internal policies prohibit the recording or manual transcription of payment card details by agents.
HIPAA oversight. When payment processing is performed by a third-party vendor, patient identity and billing information remain protected under our Business Associate Agreements, the HIPAA Privacy, Security, and Breach Notification Rules, and HIPAA-compliant operational workflows.
No method of transmission over the internet or electronic storage is completely secure, and PBS cannot guarantee absolute security of information.
Marketing Communications
You may unsubscribe from PBS marketing emails at any time using the unsubscribe link included in each marketing message or by contacting us using the information in “How to Contact Us” below. PBS will process unsubscribe requests promptly.
Retention of Website Information
PBS retains personal information collected through our website only as long as necessary for the purposes described in this Policy or as required by applicable law.
California Residents
This section provides additional transparency for California residents. PBS does not currently meet the thresholds that would make it a “business” subject to the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA/CPRA”). PBS provides this section as a matter of transparency and good practice.
The categories of personal information PBS may collect through its website include identifiers (name, email address, IP address), commercial information (services inquired about), internet or other electronic network activity (browsing behavior on our website), professional or employment information (employer, job title), and inferences drawn from this information.
We use this information for the business purposes described in “How We Use Information” above. As stated in “How We Share Information,” PBS does not sell personal information or share it for cross-context behavioral advertising.
PBS does not knowingly collect “sensitive personal information” through its website beyond standard contact data necessary to respond to inquiries.
If you are a California resident and wish to exercise rights that may be available to you with respect to your personal information, including rights to know, access, correct, or delete, you may submit a request by contacting privacy@pbsradiology.com. PBS may require verification of your identity before processing a request and will respond consistent with applicable law. PBS will not discriminate against you for exercising any privacy right.
Nevada Residents
Under Nevada law, certain Nevada residents may submit a verified request directing PBS not to make any sale of “covered information” collected about them. PBS does not currently sell covered information as that term is defined under Nevada law. Nevada residents who wish to submit such a request, or who have questions about our information practices, may contact privacy@pbsradiology.com. PBS may require verification of your identity before processing a request.
Changes to This Policy
PBS reviews this Privacy Policy at least annually and updates it as needed to reflect changes in our practices, applicable laws, or regulatory guidance. The “Last Updated” date at the top of this Policy reflects the date of the most recent review. Material changes will be communicated by posting the revised Policy on this website with a new “Last Updated” date and, where appropriate, by additional prominent notice.
Privacy Inquiries and Complaints
PBS welcomes inquiries, questions, and complaints regarding this Privacy Policy and our privacy practices. PBS will acknowledge receipt of privacy complaints and work to investigate and resolve them in a timely manner. Complaints may also be directed to applicable regulatory authorities, including, where relevant, the U.S. Department of Health and Human Services Office for Civil Rights for matters involving HIPAA-protected health information.
